As we increasingly integrate AI tools like ChatGPT into our medical writing workflows, understanding how your data is handled has never been more important.

Whether you’re drafting patient education materials, writing clinical summaries or preparing regulatory documents, knowing ChatGPT’s privacy practices helps you protect sensitive information and maintain professional standards.

Here’s a clear guide to ChatGPT’s data privacy – what is collected, how it’s used and how you can safeguard your work.

ChatGPT and privacy: What medical writers need to know

Does ChatGPT save your conversations?

Yes. By default, ChatGPT saves all your interactions – the prompts you enter and the AI’s responses. This stored data helps improve ChatGPT’s performance and allows OpenAI to refine their language models. However, if you want to keep your interactions private, you can turn off chat history in your account settings. Doing so means your conversations won’t be saved or used to train future models.

For medical writers working with sensitive health information or proprietary client materials, disabling chat history is a crucial step to reduce risks.

What types of data does OpenAI collect?

OpenAI collects more than just the text you type. Their data collection includes:

  • Device information (like browser type and operating system)
  • IP address and geolocation
  • Account details such as your email and name
  • Usage logs and technical data

This helps OpenAI maintain system reliability and improve user experience. Importantly, OpenAI does not sell your data to third parties or use it for marketing purposes.

Is your data used for training AI models?

OpenAI uses user data, including conversations, to train and enhance their AI models. This helps make ChatGPT smarter and more accurate over time. But as a medical writer, you might not want your sensitive or proprietary content used in training datasets. Luckily, OpenAI lets you opt out of this via their privacy portal.

If you use ChatGPT through an Enterprise or Team account, your inputs are not used for training by default, providing a safer option for professional use.

Using the OpenAI privacy portal

The privacy portal is your control center. Here, you can:

  • Request access to your stored data
  • Delete your ChatGPT account and all related data
  • Opt out of data usage for training
  • Request removal of your data from model outputs

For medical writers handling confidential or patient information, regularly reviewing your privacy settings can help maintain compliance with professional and legal standards.

Lessons from the past: the 2023 data breach

In March 2023, OpenAI experienced a data breach that briefly exposed some ChatGPT Plus users’ payment info and chat titles. Although OpenAI quickly resolved the issue and strengthened security, this incident is a reminder to be cautious about sharing sensitive information through AI platforms.

  • Avoid sharing patient-identifiable or proprietary info in your chats
  • Disable chat history when working on sensitive projects
